How to Write a Rental Explanation Letter

A short, honest letter can give a landlord the context an application alone never shows. Here is what to include — and what to leave out.

Why an explanation letter helps

A background check shows a record; it does not show a person. A one-page letter lets you provide context before a landlord makes assumptions: what happened, when, what you have done since, and why you will be a reliable tenant now.

What to include

Keep it to one page, factual and forward-looking.

• A brief, honest acknowledgment of the issue (conviction, eviction, or credit) without graphic detail
• When it happened and confirmation that any sentence or obligation is complete
• What has changed since: employment, education, treatment, community ties
• Your current income and ability to pay rent reliably
• An offer to answer questions or provide references

What to avoid

Do not make excuses, blame others, or over-share details of the offense. Do not exaggerate or make claims a landlord could later find untrue — credibility is the entire value of the letter. Keep the tone respectful and confident, not apologetic to the point of self-erasure.
